General Contract and Travel Conditions (GCTC)
The following provisions form an integral part of the contract concluded between Lufthansa City Center / TRAVAC Business Travel AG and the client/traveler. Furthermore, the general contract and/or transport conditions of the responsible service providers (flight, hotel, rental car, coach, ship, etc.) apply.
Hereinafter, Lufthansa City Center / TRAVAC Business Travel AG will be referred to as the "Travel Agency" and the client / traveler as the "Participant".
According to the guidelines of the Swiss Travel Agency Association, the Travel Agency may charge the Participant a fee of CHF 60 to CHF 150 per person for consultation and processing of a service.
1. Registration and Contract Conclusion
The contract between the Travel Agency and the Participant is concluded in writing, electronically, or verbally.
1.1 Complete and Correct Personal Details
The names and surnames of the Participant as listed in the passport/ID must be identical to the information provided by the Participant during reservation (by phone, in writing, or electronically). Subsequent changes will be charged by the service provider as a cancellation/rebooking with corresponding cancellation or rebooking fees. The Travel Agency is not liable for consequences arising from incomplete or incorrect personal information. The Participant must bear the resulting costs.
2. Prices and Invoicing
In the event of a subsequent price increase by the transport company (e.g., fuel surcharges), newly introduced or increased duties or fees (e.g., airport taxes), adjustments due to exchange rates, printing errors, as well as technical printing errors, VAT rate changes, and similar, the Travel Agency may increase prices. The price increase is calculated based on the actual additional costs incurred, plus a processing fee of max. CHF 60. If the price increase exceeds 10%, the Participant is entitled to withdraw from the contract within 5 days of being informed by the Travel Agency (by phone, electronically, or in writing). In this case, the Participant's cancellation must be exclusively in writing.
3. Payment
Upon registration, a down payment of CHF 800 for European trips and CHF 1,200 for overseas trips, per person, must be made. Separate provisions of the service providers (airlines, hotels, rental cars, etc.) remain reserved. The remaining balance must be paid 30 days before departure, and immediately for late registrations. For trips where travel documents must be issued simultaneously with the reservation and/or where the provisions of service providers (airlines, hotels, rental cars, etc.) require simultaneous payment with the reservation, their conditions apply. The Participant bears any resulting cancellation costs. Failure to pay on time entitles the Travel Agency to refuse the travel service.
4. Cancellation and Rebooking
4.1 Cancellation/Rebooking by the Participant
The provisions of the service providers (accommodation, transport, tour operators, etc.) apply. We recommend taking out travel insurance.

5. Passport, Visa, and Entry Requirements
The Participant is solely responsible for complying with all entry requirements of the destination country that are important for the trip. All disadvantages arising from non-compliance are at their own expense. The Participant is also obliged to inform the Travel Agency if they hold a nationality other than Swiss. If the Participant commissions the Travel Agency to obtain necessary visas, the Travel Agency is not liable for their timely issuance by the competent diplomatic representation. The Travel Agency cannot be held liable for any delays and costs that may arise in connection with visa issuance. Any costs that may arise from this are borne by the booked Participant.
6. Outbound, Connecting, and Return Travel Times
If the Participant does not appear or appears late for a transport service or any other booked service, no refund for the paid service can be granted. If the Participant misses the transport service, they must book a new transport service at their own expense. This applies particularly to time changes. The Participant is obliged to confirm the transport times or dates with the respective service provider at least 72 hours before the start of the transport service.
7. Complaints / Defects
If the services provided do not correspond to the agreed contract between the Travel Agency and the Participant or are otherwise defective, the Participant must immediately request free remedy from the service provider that was supposed to provide this service.
If the Participant's interventions do not lead to a solution, they are obliged to request a written confirmation from the relevant service provider, which records the Participant's complaint and its content. The defect and any claims for damages must be submitted in writing to the Travel Agency no later than four weeks after returning to Switzerland.
8. Liability
8.1 Modular Trips
The Travel Agency acts as an intermediary between the Participant and the transport, hotel, and other service providers. Therefore, the Travel Agency cannot guarantee that these companies will perform their services flawlessly. The Travel Agency assures the Participant that we have carefully selected all contractual partners and service providers. The Travel Agency recommends taking out travel insurance.
8.2 Exclusion and Limitation
Regardless of whether it is a package tour or a modular trip, claims for damages are excluded if they are due to a failure on the part of the Participant, unforeseeable or unavoidable failures of a third party (who is not a service provider), or force majeure, or if damage could not be foreseen or averted by the Travel Agency or the service provider despite due diligence. Limitations of compensation for damages due to non-performance or improper performance of the contract, as provided for in international conventions, remain reserved. In all other cases of using service providers (flight, train, ship, etc.), our liability per personal injury is limited to CHF 500,000.
8.3 Changes/Cancellations of Package Tours by the Organizer
For package tours, the travel program may undergo changes in accommodation, type and means of transport (service providers and times) due to unforeseeable circumstances. Program changes do not entitle to any claims for damages (not even for consequential damages such as loss of earnings).
8.4 Delays and Cancellations
In the event of delays and cancellations made by transport companies, regardless of the reason, the Travel Agency cannot assume liability for damages such as loss of earnings, additional hotel nights, meals, etc.
9. Documents for the Booked Service
The Participant receives the documents for the booked services from the Travel Agency, e.g., for flights, accommodation, excursions. If the Participant has not received the documents 5 days before departure, they must contact the Travel Agency. The Participant is solely responsible for carrying the necessary travel documents.
10. Security
The Travel Agency is a member of the Guarantee Fund of the Swiss Travel Industry and thus guarantees the security of the Participant's payments related to their reserved trip. Detailed information and the exact guidelines are provided to the Participant in the brochure "Guaranteed There and Back", which can be obtained from the Travel Agency at any time.
11. Ombudsman
Before any legal dispute, the Participant should contact the independent Ombudsman for the travel industry. The Ombudsman strives to achieve a fair and balanced settlement for all types of problems. Address: Ombudsman of the Swiss Travel Industry, Postfach, 4601 Olten.
12. Place of Jurisdiction and Applicable Law
Swiss law is exclusively applicable to the contractual relationship between the Participant and the Travel Agency. Subject to mandatory legal provisions, Zurich is also the place of jurisdiction.
